Upon arriving at Kigali International Airport and clearing customs, you will be met by your driver-guide at the exit. He will warmly welcome you to Rwanda, provide a brief orientation, and then escort you to your vehicle in the parking area. From there, you’ll be driven to your hotel for an overnight stay.
Kigali
After breakfast at the hotel at 8:00 AM, meet your guide for a short briefing before heading to the Kigali Genocide Memorial Center, which honors the memory of over one million Rwandans killed in 1994 and promotes education and peace-building. You’ll have the opportunity to watch video clips featuring survivors’ stories. Following lunch in Kigali, we’ll proceed to Volcanoes National Park via a scenic route to Musanze, approximately a 2-hour drive on well-maintained roads with picturesque stops along the way. Upon arrival, you’ll check into your accommodation for dinner and an overnight stay.
Volcanoes National Park
After an early breakfast at 6:30 AM, you will be transferred to the park headquarters, where you’ll meet your ranger for a briefing on the code of conduct while with the gorillas. You’ll then enter the forest to begin your gorilla trek, which can take between 2 to 6 hours, depending on the gorillas' movements and the pace of your group. Once you locate the gorillas, you’ll spend up to one hour observing them. After this incredible experience, you’ll return to the starting point to meet your guide, who will transfer you back to your lodge for lunch.
Following lunch, you may choose to relax at the lodge or opt for an additional excursion, such as visiting the Ellen DeGeneres Campus of the Dian Fossey Fund or enjoying a cultural walking tour at Iby’Iwacu to gain insight into Rwandan culture. Dinner and overnight stay at the hotel.
Volcanoes National Park
After an early morning breakfast, and depending on your flight time, you may choose an additional park activity, such as a golden monkey trek, or proceed directly to Kigali for your departure. All travelers require a valid passport to enter Rwanda, which must be valid for at least six months beyond the end of their travel. The passport should also have at least four blank visa pages.
In addition to a valid passport, as noted in your Journey Confirmation e-document confirming your reservation, travelers are also required to have a visa to enter Rwanda.
Visas for Rwanda will be obtained on Day 1 of the tour. Upon arrival at Kigali Airport, B2C Adventure guests (of all nationalities) must pay USD 50 in cash at the visa desk and will have their passports stamped.
Note: Because a visa is an official document, B2C Adventure cannot apply for a visa on your behalf and has limited ability to provide assistance with the process.
IMPORTANT NOTE: Failure to obtain all necessary documentation before your tour may result in denied entry to Rwanda or delays until proper documentation is obtained. To keep our planned itinerary on track, travelers without the required documents may be required to remain at the airport and will be responsible for arranging and paying for their own transportation to rejoin the group. B2C Adventure will not be responsible for obtaining missing documentation, nor will it be liable for any expenses, missed tour components, or other losses resulting from the failure to secure proper travel documents in advance.
All travellers should check with the Rwandan embassy or consulate to determine the necessary travel documents.
We strongly recommend making at least two photocopies of all travel documents you bring with you. Include copies of the photo page of your passport showing the issuance date, expiration date, and your citizenship. Keep one set of copies in the safe in your room while traveling, and leave another set with someone at home who can assist if your documents are misplaced, lost, or stolen.
To meet travel requirements, many destinations are increasingly using online forms that require digital proof of completion (via email, QR code, etc.). To ensure smooth travels and peace of mind, we strongly recommend that all guests carry a personal smartphone and sign up for international data plans before traveling overseas.
Traveling with Children as a Guardian: If you are traveling as the guardian of a child, we strongly suggest carrying a letter from both parents authorizing emergency medical treatment in case of illness or accident. For international travel, many countries have specific entry requirements for children under 21 who are traveling without both parents. These requirements are in response to an increased incidence of child abduction. Please note that B2C Adventure is not responsible for travel disruptions caused by improper documentation for children traveling without both parents.

Deposits, Gorilla Permits, and local flight fees are due at the time of booking. Note: If your tour includes an air transfer and Gorilla Permits, the full airfare and Gorilla Permit fees amount will be requested upfront and will not be counted as part of the deposit.
If you wish to book with Bush 2 City Adventure, we will request a non-refundable booking deposit of 30% per person upon receiving your booking details. This deposit is typically paid by credit card.
Final Payments:
Final payment is due to Bush 2 City 45 days before the tour departure date. For safaris arranged within 45 days of the start date, the full amount must be paid to confirm the booking. If your deposit was made by credit card, the final payment will be processed automatically unless you opted out at the time of booking. Bookings without full payment by this deadline may be canceled without notice. Failure to make payment will be considered a cancellation by the guest, and all applicable cancellation fees will apply.
How to Make Payment: Read
We recommend that all travelers booking safaris with us purchase travel insurance to cover their trip investment. Ensure that you have cancellation cover for any reason.
Travel Insurance Benefits – We advise all visitors to carefully review the extent of a policy’s coverage before purchasing it, and the following recommendations should be included in the policy before you make a purchase:
Trip Cancellation – If you must cancel your tour due to a covered reason, the plan provides coverage for the amount you paid for your travel arrangements. Make sure the policy benefits reimburse the airfare cancellation charges up to the value of your original airfare purchase.
Trip Interruption – If you have to interrupt your tour for covered reasons, the plan provides reimbursement to catch up to your tour or return home.
Travel Delay – Provides reimbursement for missed, prepaid travel arrangements if you are delayed by a common carrier, natural disaster, unannounced strike, or other reasons as cited in the plan.
Medical Expense – Reimburses covered medical expenses incurred in the event you become injured or sick during your trip.
Baggage / Personal Effects Protection – Provides reimbursement in the event your luggage or personal effects are lost, stolen, damaged, or delayed during your trip.
Worldwide Emergency Assistance Services – 24-hour emergency telephone assistance hotline for medical and travel-related problems.
Please note that the insurance policy is arranged by clients themselves from the company based in their home country, not Bush 2 City. Purchasing insurance is advised immediately after confirming your safari with us and paying the deposit.
If circumstances arise necessitating the cancellation of your holiday, such cancellation must be formally communicated to us in writing. A cancellation will only be deemed valid once we have received written notification.
Please note that in the event of a cancellation, both the deposit and any charges related to amendments will be non-refundable. Cancellation fees are assessed on a sliding scale, as outlined below, and apply per person upon our receipt of your written cancellation notice before your scheduled departure.
Regardless of the reason, cancellations result in costly charges from our travel and hotel providers covering penalties and fees incurred by canceling confirmed bookings. These fees vary from tour to tour, and therefore, the following fees apply:
– > Cancellations 120 to 60 days before departure incur a forfeiture of the 30% deposit
– > Cancellations 60 to 45 days prior incur a 50% fee of the total tour rate.
– > Cancellations less than 45 days prior incur a 100% cancellation fee.
Travel insurance is highly recommended to cover unforeseen cancellations. If your cancellation falls within the coverage scope of your insurance policy, as outlined in its terms and conditions, you may be eligible to recover the incurred charges from your insurance provider. However, it should be noted that if we have already issued your domestic airline tickets and you decide to cancel them at any point, you will not be entitled to any refunds for these tickets, under the circumstances described.
Moreover, if you fail to show up or join the safari after the departure date has passed, no refund will be issued. The time of cancellation will be when notice is received in our Sakina Kwa Idd, Arusha, Tanzania office.
In the event of an unforeseen circumstance beyond our control, Bush 2 City reserves the right to amend the cancellation terms outlined herein.

Airfare: Airfare to and from this destination is not included in the journey cost. If you are arranging your airfare, please provide us with your confirmed arrival and departure flight details no later than three weeks before your arrival date.
Bush 2 City Airport Transfers: Airport transfers are included at the start and end of your journey between the airport and the Bush 2 City hotel. Transfers are also available for any pre-tour or post-tour hotel stays directly preceding or following the tour, provided flight information is received by Bush 2 City at least three weeks in advance. Your final documents will include instructions on locating your transfer upon arrival in the tour’s starting city.
Airlines and Checked Luggage: Due to space limitations on the Bush 2 City journey, we ask that you limit your checked luggage to one average-size suitcase per person. In addition to the Bush 2 City restrictions, please research and comply with all airline baggage restrictions for your flights to and from the Bush 2 City journey. Airlines have become stricter in enforcing size and weight limits in recent years and may revise luggage policies without notice. Guests are responsible for checking and complying with airline luggage policies; Bush 2 City is not responsible for any costs or travel disruptions resulting from failure to comply.
Please note that if you are on a tour including internal flights, the weight restrictions for checked luggage may be lower than those for international flights.
To assist with packing, Bush 2 City recommends each guest bring a duffel bag. This soft-sided bag provides ample space for the essentials needed on safari. On-tour flights have strict limitations, requiring each guest to bring only one piece of soft-sided luggage (duffel bag) weighing no more than 33 pounds (15 kg), including all camera equipment. Soft-sided luggage ensures it fits into irregularly shaped compartments. Additionally, guests are limited to one soft-sided carry-on bag not exceeding 15 lbs (6.8 kg) and no larger than an average knapsack.
Checked Luggage – General:
Due to space constraints, please limit your checked luggage to one suitcase per person, weighing no more than 44 pounds (20 kg) and with total dimensions (length + width + height) not exceeding 62 inches (158 cm). In addition to the Bush 2 City restrictions, please research and comply with all airline baggage policies for your flights to and from the Bush 2 City journey. Airlines have become stricter with size and weight limits, and exceeding them may lead to costly overage fees or other issues. Airlines may revise policies without notice, and certain classes of service may have different baggage allowances. Compliance with airline luggage policies is the guest’s responsibility, and Bush 2 City is not liable for any costs or travel disruptions due to non-compliance.
Carry-on Luggage – General:
Although oversized and wheeled carry-on luggage is popular for airline travel, it may not be suitable for safari vehicles or certain on-tour flights. Most safari vehicles have limited space, designed to hold smaller items such as coats, hats, purses, and compact camera bags. For daily travel on tour, we recommend limiting hand luggage to a small, soft-sided carry-on with only essential items like medications, valuables, cameras, and other personal items needed during the day. Larger items that cannot fit under the seat must be stored in the luggage truck and will be inaccessible during daytime travel.
Health Considerations
Please check with your health insurance provider to determine if you are covered while traveling. If your current policy does not provide coverage, we strongly recommend arranging adequate travel health insurance.
Vaccination Requirements and Recommendations
Some countries on this itinerary may require proof of vaccination against certain diseases for entry. These requirements can change frequently due to varying health conditions, so it is essential to obtain the most up-to-date information on entry requirements as you prepare for your journey.
Regarding the Yellow Fever Vaccination:
While not a requirement from Bush 2 City, we advise guests to bring proof of Yellow Fever vaccination or a doctor’s note if unable to receive the vaccination, as entry regulations for Tanzania often change.
For the latest information, please consult the Centers for Disease Control and Prevention (CDC) [here] and the World Health Organization (WHO) [here]. You may also want to review the websites for the embassies of the countries you will visit, as these sites provide both vaccination requirements and recommendations for additional vaccinations or potential health concerns.
Health-related decisions should not be based solely on information from websites. It is crucial to consult your physician at least four to six weeks before departure to obtain required vaccinations and discuss any recommended ones. Some vaccinations require time to become fully effective. Also, ensure that your physician provides proof of vaccinations, and pack these documents in your carry-on luggage.
Travelers are responsible for researching and complying with vaccination entry requirements for all countries on this itinerary. Bush 2 City is not liable for any expenses or travel disruptions resulting from improper or incomplete vaccinations or failure to provide proof of required vaccinations. Without the necessary vaccinations and documentation, you may be denied entry or face quarantine until proper documentation is provided.
Special Dietary Requests
Our partners, including restaurants, hotels, and caterers, strive to accommodate special dietary requests. However, given the diversity of food providers on our tours, we cannot guarantee that all dietary requests can be met at every meal. In cases where accommodations are possible, options may be limited.
Mobility
Travelers to Africa should be in good health. While this tour does not involve extensive walking, the walking that occurs may be over uneven terrain, in warm weather, and involves climbing in and out of safari vehicles. If you choose on-tour air transfer upgrades, note that flights use single or twin-engine propeller planes with capacities of 18-50 passengers. Guests requiring mobility assistance or those who rely on oxygen tanks may not fully enjoy this active journey.
There are specific guidelines for safaris, and it is essential to follow instructions from your tour director, guide, or ranger, who are trained to ensure safety. Safari travel involves smaller groups, bush planes, and helicopters, as well as smaller safari vehicles where seating and guides rotate. Medical facilities are limited, and special arrangements or exclusive vehicle use cannot be guaranteed.
Safari vehicles may not have air conditioning, although some might. Vehicles have six window seats and roofs that lift for optimal animal viewing. Game drive routes are often unpaved, bumpy, and dusty.
Dining Arrangements
All Bush 2 City guests will dine at designated Bush 2 City tables for meals. Most safari meals are buffet-style to accommodate the variety of international guests at lodges.
Scheduled Hot Air Balloon Ride
The minimum age for the hot air balloon ride is seven, with no maximum age. However, participants should be mobile, fit to fly, and ready for adventure. Balloon passenger weights are calculated at an average of 176 lbs (80 kg). If you weigh more than 50% above the average weight (265 lbs/120 kg), an additional fee may apply.
Important Note on Supplemental Oxygen and Mobility Issues
This Bush 2 City itinerary cannot accommodate oxygen tanks, wheelchairs, or motorized scooters. Oxygen tanks are prohibited on regional flights on small aircraft, and the limited cargo space on these flights also prevents the transport of wheelchairs or motorized scooters. Additionally, infrastructure in many destinations, particularly in developing countries, can present significant challenges for guests with mobility issues. While Bush 2 City’s guides aim to provide a relaxing and informative journey, they are unable to offer ongoing individual assistance. Guests requiring individual assistance must be accompanied by an able-bodied companion.
We have compiled a reading list of recommended books to give you more information about the destinations you will be traveling to on your upcoming journey!

By Bernie Krause.

A classic. In 1913, Elspeth Huxley set off in an open cart with her parents to travel to Thika in Kenya. As pioneering settlers, they built a house of grass, ate off a damask cloth spread over packing cases, and discovered—the hard way—the world of the African. By Elspeth Huxley.

Late afternoon rains are common in East Africa. The rainy seasons are from March through May (the “long rains”) and October through December (the “short rains”). During these periods, rain typically occurs in the late afternoon and is usually brief. Some travelers prefer visiting in the spring for smaller crowds, lush scenery, and pleasant temperatures.
For current weather conditions, we recommend visiting an online weather website by clicking here.
This African safari is a very casual tour. Comfortable and casual clothing is recommended for both day and night. Formal and resort attire is not required.
Generally, lightweight, cotton, short- and long-sleeved shirts, long pants, and shorts are sufficient. A light jacket, fleece, or windbreaker, as well as layers of clothing, are suggested for cooler temperatures during early morning game drives and evenings. A bandana or cotton scarf will always come in handy.
While on safari, you may prefer to wear natural, earth-toned clothing, such as khakis, tans, browns, and greens (this is not imperative; other colors are fine), as well as comfortable walking shoes (hiking boots are not necessary). Dark, black, or navy blue clothing is not recommended while on safari as these colors have been known to attract biting tsetse flies. It is also advisable to bring a swimsuit, hat, sunscreen, sunglasses, and lip protection. Some stretches of unpaved road travel during game drives can be quite bumpy.
A personal kit with medication for possible upset stomach, aspirin, and allergy medicine may also be useful. If you are taking prescription drugs, bring a prescription signed by your doctor in case you need an emergency refill while traveling. Insect repellent with DEET is a very important item to include in your kit. Pre-moistened towelettes, antibacterial lotion, and a flashlight will also be useful on your safari.
Pack your medical kit in your carry-on bag along with an extra pair of prescription glasses or contact lenses and a change of clothes in case of luggage delay.
For viewing wildlife, we recommend you bring a good pair of binoculars and your photography supplies, such as plenty of film, batteries, a 200mm telephoto lens, lens cap, lens papers, UV filter, and, for video recording, an adequate supply of video cassettes.
